Requests to Attend a "Conference" or Event (DoD new requirements)

Introduction

Do not assume that attendance or participation in a meeting, retreat, "get together" workshop, exhibition, etc will be exempt from the new DoD conference guidelines: obtain confirmation by checking with a responsible official.

Begin by consulting the References provided, particularly "29 September 2012 Implementation of Conference Oversight Requirements..." page 12 for definition of a "conference", and page 13 for definitions of "exempt." If you still think your participation may be exempt, seek confirmation from the responsible official of your choice: Department or Program Chair, Responsibility Center head, office of the President, Office of General Council (OGC) kristen.brown.ctr@usuhs.edu, or the Action Officer sylvia.scherr@usuhs.edu or (301) 906-0711.

Hosting an Educational Event (DoD new requirements)

Introduction

Do not assume on your own counsel that your upcoming meeting, retreat, "get together" workshop, exhibition, etc does not fall under the new DoD conference definition, which usually includes items such as travel/registration fee/hotel/formal agenda. Begin by consulting the References provided, particularly "29September 2012 Implementation of Conference Oversight Requirements..." page 12 for definition of a "conference." If you still think your event may be exempt from DoD review, seek confirmation from the responsible official of your choice: Department or Program Chair, Responsibility Center head, office of the President, Office of General Council (OGC) kristen.brown.ctr@usuhs.edu, or the Action Officer sylvia.scherr@usuhs.edu or (301) 906-0711.

Timeline

Submit your request to host a minimum of 150 days (5 months) in advance of your registration or publicity announcements; do not sign any contracts or commit to co-sponsors without approval of your request to host. DoD requires 120 days for review; USU must review and approve your request prior to submission to DoD.

Reporting on an Educational or Other "Conference" Event

Reports

Upon activity conclusion, please send your report of the event to the Conference Action Officer sylvia.scherr@usuhs.edu. Data to be reported includes the following: event title dates location number of DoD attendees and total cost including travel of all participants (estimated is acceptable if exact figures are not possible). This information is submitted to DoD on a monthly basis.
